Quotation Maker
Turning scattered product, pricing and specification information into a consistent quotation, without retyping it every time.
- Document generation
- Structured data
- Sales workflow
Quotations were assembled by hand. Someone read the enquiry, looked up the relevant products and prices across spreadsheets and past documents, worked out what applied to this particular customer, and typed the document out. Every quotation was effectively rebuilt from scratch.
Preparing a quotation became a review task rather than an authoring task. The person responsible opens a complete draft, checks the commercial judgement, adjusts what needs adjusting, and sends. Quotations look the same regardless of who prepared them, and they use current pricing by construction rather than by diligence.
The problem
The cost was not only time. Because each quotation depended on whoever happened to prepare it, the structure, wording and level of detail varied. Older prices and superseded specifications made their way into new documents. During busy periods quotations queued behind whoever knew the products best, which made one person a bottleneck for revenue.
What we built
We structured the information the quotation actually depends on — products, specifications, pricing rules and standard terms — so it could be read reliably by software rather than by memory. On top of that we built a workflow that assembles a draft quotation from an incoming enquiry: it pulls the relevant items, applies the correct current pricing, and produces a formatted document in the house format.
Where AI enters
AI reads the enquiry as it arrives, in whatever form it arrives, and works out what is being asked for — which products, which specifications, which quantities — including where the customer has described something in their own words rather than in catalogue terms. It also drafts the descriptive sections that would otherwise be written by hand. It does not set prices and it does not send anything: pricing comes from the structured rules, and a person reviews and approves every quotation before it leaves.
Business value
Quotation turnaround stops depending on one person being available. The commercial risk of quoting from a stale price sheet largely goes away, and the time recovered goes back into the part of the job that actually needs a human — judging the deal.
